How to make a co-working space work for you
What about a hot desk too? Andre Chong of JustCo Singapore shares the benefits of using one or both
When you need to work – and you want to do good work – you have to have a well-thought-out workspace.
(That’s a lot of “work” in one sentence.)
At least I think so. The type of desk matters. The ambiance does too. And of course, you should have the necessary office supplies and amenities around you.
Or they ought to be just a few steps away.
But what if you do have a cool workspace, but like changing things up every now and then? Having the same one in the same location can get a bit boring. But sometimes we don’t have a choice. Or do we?
This is why I love the idea of co-working spaces and hot desks. They feel like cafés, hotels, high-end offices and cosy hangouts all rolled into one. I can work, but I also get the tiny breaks I need in between.
For example, the newly opened one by JustCo at Singapore’s Changi Airport T3 looks particularly nice – so I asked Andre Chong, their vice president and head of marketing, for a few tips on how to choose and use these flexible workspaces that cater to every kind of business.
His tips and observations can also inspire us to create our own kind of workspace if we’re working from home or somewhere else.
But first: What is a co-working space?
If you have a vague idea of how co-working spaces function, Andre gives us a definition.
“Co-working spaces are multifunctional, purpose-built workspaces where individuals and businesses share a suite of comprehensive amenities designed to support different work modalities, such as collaborative work, individual focused work, boardroom meetings, video conferencing and networking,” he says.
“Members have the option of occupying private offices or hot desking in the communal areas, and still enjoy access to shared amenities. Beyond providing a physical space to work in, co-working spaces also serve as a platform for individuals and businesses to engage with the wider business community and forge meaningful networks and collaborations.”
What about hot desks or hot desking?
“Hot desks are typically part of co-working spaces, which provide individuals such as entrepreneurs, remote workers and digital nomads with a conducive and supportive environment to grow their careers. This has become even more relevant in today’s gig economy,” he explains.
“Hot desks offer a more affordable option than dedicated workstations, and entrepreneurs can still enjoy a proper desk station and other shared amenities in the co-working space to kickstart their businesses. Additionally, co-working spaces provide a platform for entrepreneurs to meet and collaborate with other like-minded business owners.”
So what elements make up a good co-working space?
“An ideal co-working space should have a comprehensive suite of well-designed workspaces that support different work modalities, improve productivity, and promote employee well-being by providing a relaxing environment,” Andre answers.
“Co-working spaces should also offer a variety of networking sessions and events tailored to members from different industries, allowing members to leverage these opportunities to meet more people and grow their businesses or careers.
“It should also give members a strong sense of belonging, where they feel motivated to succeed and look forward to connecting with the wider community,” he continues.
“Additionally, if you or your company are advocates of work-from-anywhere, perhaps an ideal co-working membership should grant you access to all co-working facilities under the same company at no additional charge.”
And what makes a good hot desk as well?
“An ideal hot desk should be spacious enough to accommodate the user’s electronic devices and have a larger screen for visual comfort, whenever possible,” he says.
“It should also be arranged at an appropriate distance so that each user can work comfortably in a shared environment, while also located not too far away from collaboration areas in the same amenity.”
Co-working spaces and hot desks for first-timers
Now that Andre’s painted a clearer picture of what these venues are all about, are you curious to try them out?
You need to shell out a certain amount to gain access to them, but they could be worth it if you choose well. Andre lists some of the factors that would be good to include in your checklist.
#1 Location
“You may want to consider where you prefer to work: in the Central Business District, a regional business park such as one-north or Tampines, or in the heartlands, such as Tiong Bahru. Some of JustCo’s co-working spaces are within or connected to shopping malls. Some are also located in brand-new Grade-A office buildings. These factors will determine the workplace culture and work life you will experience as an individual.”
#2 Hot desk vs private suite
“When choosing a hot desk or co-working membership, it’s important to consider whether you prefer to be stationed at a hot desk or a private suite in a co-working space, or if you’d prefer a membership that allows you to work from anywhere.
“For example, if you’re a salesperson, you may want to consider a more central location to save time commuting to meet clients. Alternatively, a work-from-anywhere hot desk pass from a larger provider like JustCo may be a good option, as it allows you to work from any available hot desk at any of our centres in the city.”
#3 Amenities
“Different co-working operators provide different shared amenities as part of their membership. You may want to think about what kind of amenities will cater to your needs, apart from basic amenities such as workstations, pantries, meeting rooms and event spaces. Some co-working spaces provide recreational amenities like basketball machines, while others feature fitness studios or café lounges.”
#4 Style and design
Andre cites hotel-style amenities, nature-inspired design and ergonomic furniture as examples.
“A welcoming workspace designed with people’s needs in mind is essential for creating a positive workplace experience. Whether you prefer a vibrant and energetic culture or a more corporate-style workplace for professionals, the style of your workspace says a lot about what you want to showcase to your clients and partners.”
#5 Network and culture
“Over the years, people have recognised the intangible benefits of co-working beyond the physical space and cost savings. Social events and activities organised at co-working centres are an integral part of many people’s work lives, as they provide opportunities to meet and connect with potential business partners,” Andre says.
#6 On-site support
“In addition to the physical space, service providers like JustCo offer on-site support, including tech support. Think about what kind of on-site support you need to work with peace of mind.”
#7 Privacy
“This depends largely on the industry you’re in and whether you prefer a secured environment to safeguard sensitive information,” Andre observes.
“If you’re in an industry like finance or security, a private suite at a co-working space may be more ideal.”
#8 Budget
“Finally, after considering all of the above, we hope you can find an ideal option that is affordable and that serves as a useful catalyst for a fulfilling career.”
Now it’s time for you to create your ideal work environment
Given this information, you can now come up with a list of your own needs and wants in a workspace. You can use them to plan and rethink one in your own home or in another spot with your team too.
Andre shares his if you need more inspiration.
“My ideal work environment would be one where I feel comfortable, productive, empowered and motivated to do my best work,” he says.
“An ideal workspace should incorporate hotel-style amenities, biophilic designs and purpose-built spaces so that modern workers like you can enjoy productivity and comfort at work. For instance, exposure to abundant daylight through the installation of French windows will contribute to productivity and stress relief.
“Additionally, inspiration can also be drawn from the local community to workspaces that give individuals a sense of belonging, where they feel at ease and perform at their best.”
Then again, we should be able to work wherever we may be. But co-working spaces and hot desks do make it easier. Maximise them (and whatever your chosen workspace is) like this:
“Prioritise your tasks, stay focused and create a to-do list,” Andre advises.
“When possible, participate in activities and networking sessions. Taking a break from your busy schedule will refresh you, and you never know who you might meet.”
#1 If you want to be productive
“Choose the right workspace for different work modalities. For instance, use a quiet nook for focused work and a collaborative area for brainstorming and discussion.”
#2 If collaborations are important to you
“Collaborations come in many forms. A meeting room supports formal discussions, briefings and engagements with international counterparts. A brainstorming session or discussion amongst teammates might require a more relaxed setting where everyone feels comfortable and recharged to innovate and come up with new ideas.
“In a highly connected world, smart facilities that support video conferencing are also essential. Choose a workspace where the facilities support your work needs.”
#3 If you want to be efficient
“Apart from efficient time management, the ability to prioritise, good subject matter knowledge and the appropriate workspace, an individual can also consider workspaces which provide ergonomic furniture. With your body and posture well taken care of, one can look forward to improved efficiency at work.”
One more thing
Like any place with people in it who’re trying to focus, there’s certain etiquette to be mindful of.
“A co-working facility is a thriving community full of interesting and inspiring individuals. It is also a shared amenity where many individuals have different needs and work habits,” Andre says.
“If you are in a quiet nook or area designated for focused work, it would be nice to refrain from taking calls or holding discussions. And of course, keep the place clean and free of rubbish. Let’s work together and make work better for everyone.”
After all, you would want to be your most creative self and get things done, right? Whatever your kind of workspace, you’d still want a haven of peace.
